Motorcycle Orientation

Every client is entitled to receive orientation to the motorcycle. The client orientation will cover all aspects of safe motorcycle operation, the clients’ maintenance responsibilities, local and state laws.

Fuel

Fuel costs are the client’s responsibility. Bikemandu claims no responsibility for motorcycle fuel consumption and mileage. You may purchase Prepaid Fuel at pickup. If Prepaid Fuel is not purchased and the vehicle needs refueling, a fuel charge will be applied at the time of drop-off if you return the vehicle with a fuel level that is less than the pick-up fuel level or an empty tank.

Storage Facilities

Bikemandu will provide storage for client luggage, airline tickets, and other valuables free of charge, however at clients’ risk.

Helmets 

Wearing Helmets are required by law. Normal unbranded helmets are provided free to use with all motorcycle rentals and all tours. Clients are encouraged to bring their own helmets for comfort. In addition, helmets may be purchased at Bikemandu rental stations. Also, clients paying for the helmet will offered with certified brand helmet.

Maintenance Responsibility

The customer is responsible for checking engine oil level at each refueling and reporting mechanical failures immediately. Instructions and procedures for maintenance expense reimbursement are provided at pick-up. Customers may be held responsible for mechanical damage due to negligence in motorcycle operation or failure to provide normal maintenance.

Motorcycle Substitution

Bikemandu assures to substitute the motorcycle confirmed to rental client. Should Bikemandu not be able to provide confirmed motorcycle a similar or better model will be provided to the client.

Restrictions

Violation of listed restrictions voids all VIP Theft & Damage Waivers and client will be held liable for damages. 

Road Restriction: Rental street motorcycles or scooters are not allowed on gravel roads, beaches, logging or other non-public roads. 

Mustang and Manang: Entering Mustang and Manang during the months of June through mid September is dangerous and not recommended. 

Security Deposit

A security deposit will be taken at pick-up and must be processed by cash, refundable upon returning of motorcycle without damage. Please read the Waiver Coverage section for more details.

Reservation and Deposit

All customers must pay minimum deposit of 10% at the time of booking or can pay in full. Remaining balance if left to pay must be paid in full, 7 days early prior to rental start date if paying by wire transfer or any day just before the rental start date if paying by cards or cash. For a group booking that is paid by one credit or debit card, Bikemandu will charge the remaining group balance to the same card used for payment at the time of booking. If you would like to pay the remaining balance with another card or wire transfer, please contact us and make arrangements before the remaining balance due date. If Bikemandu does not receive the remaining balance earlier or on rental start date, then Bikemandu reserves the right to revoke the reservation and seize total amount paid for the reservation. 

Pick-Up, Return and Late Charges

Pick-Up and Return Time of the rental motorcycle must be regarded as agreed at the time of reservation

One rental day is based on 1 – 24 hour rental period starting from the scheduled pick-up time. No refunds for early motorcycle returns are granted. 

Late Charge: A $5 per hour penalty is assessed if the motorcycle is returned late from the scheduled drop off time.

Please note: If the motorcycle is returned after the rental location business hours, the customer is responsible for the motorcycle until it is satisfactorily checked in by the rental location (even if the check-in process occurs on the next business day).

Cancellation and Refund

Cancellations made at least 45 days before the scheduled pick-up date will receive a full refund. If you cancel within 44 days, you may be entitled to a partial refund with the amount depending on when you cancel. All refunds are received as store credit, redeemable within two year from the issuing date.

*Canceling at least 45 days before the pick-up date. A full refund will be issued as a store credit less bank transfer fees or card surcharge fees. 

*Canceling between 35 and 44 days before the pick-up date. A 30% cancellation fee will apply, and a partial refund will be issued as a store credit

*Canceling between 25 and 34 days before the pick-up date. A 60% cancellation fee will apply, and a partial refund will be issued as a store credit

*Canceling within 15 and 24 days before the pick-up date. A 70% cancellation fee will apply, and a partial refund will be issued as a store credit.

* Canceling later than 15 days before the tour date. A 100% cancellation fee will apply, and no refund will be issued.

Please note:

If you do not appear to pick up the motorcycle at the mentioned pickup time, you will be considered a No Show and you are not entitled to a refund and you will be charged the full rental price. Any balances remaining after Cancellation Fees if applicable will be issued in the form of a Store Credit that may be redeemed within one year. 

Weather Conditions

Bikemandu cannot be held liable for any unforeseen, unpredictable, unpleasant and unsuitable weather conditions. No refunds shall be granted for such conditions.

Bikemandu Store Credits

Store credits owned by an individual may only be used for reservations by the specific individual who placed the previous reservation. Store Credits can be used once per payment. Store Credits expire 2 year after the issuing date. Store credits can only be applied at the premises you last placed a reservation. 

Payment Methods

Bikemandu Rentals accepts the following methods of payment: Cash, Traveller Cheques, VISA, Master Card  etc. Travellers Cheques are not accepted for security deposit. Security deposit of USD 150 is required in cash. 

Peak Season Surcharge

Peak Season surcharge is a variable charge that may be asked during high-demand periods if booking is done by person at short notice. Peak seasonal months are typically March, April, May, October, November, till mid December

Booking Terms

Minimum Reservation amount 15% of total amount must be paid to guarantee rate and rental date. Reservations are non-refundable in cash but as store credits if that falls under the conditions of refund policy and may be redeemed within 2 years from the date of cancellation for one time purchase at the same premises. Discount rates are subject to availability, off peak season, early booking etc. All rental models may vary. Rates may vary depending on season and availability. 

Insurance Policies and Surcharges

Bikemandu recommends that you take out adequate travel, emergency evacuation health and accident insurance as well as Trip Cancellation Insurance. While riding in Nepal, no liability insurance is included in your rental except the insurance when you purchase any available one while going through booking process. Please check details at our insurance for more information. Riding abroad out of Nepal on international tours comes with state mandatory insurance on motorcycle rental.

Personal Property Coverage

Bikemandu takes no liability for any loss, theft or damage to personal property. 

Roadside Assistance

When purchasing a Roadside Assistance Coverage, it provides transporting or roadside mechanical assistance by Bikemandu approved vendor if your motorcycle fails in the middle of the trip. The benefits include emergency road service transportation within 50 Kms of incident, emergency fuel supply (up to 5 litres) and jump start services. 

Motorcycle Model Guarantee

Any reservation made within 48 hours of pickup is subject to availability but offer a comparable model on unavailability. Please contact us for the confirmation.

Upon signing the booking form, it is confirmed that the participant has agreed to accept the terms and conditions mentioned below. Incomplete form and without signature, the contract remains invalid. 

Requirements For Renting Motorcycle

Motorcycle Rental

Royal Enfield models can be provided with luggage racks and passenger backrests if requested. Every client is entitled to receive orientation to the motorcycle. The client orientation will cover all aspects of safe motorcycle operation, the clients’ maintenance responsibilities, local laws. Bikemandu reserves the right to substitute the motorcycle confirmed to tour participants if the reserved model becomes unavailable. Upon arise of any unexpected and uncontrollable situations, when substitution of a motorcycle is required and should Bikemandu not be able to provide the confirmed motorcycle, a similar or better model will be provided to the participant . This includes mechanical failure, collision damage, theft etc. 

Security Deposit

A security deposit will be taken at pick-up and must be processed by cash. It is refundable upon returning of motorcycle without damage. Please read the Waiver Coverage section for more details.

Storage Facilities

Tour Guide Services

Standard Self-Drive Tours will be provided with planned route detail. It contains day-by-day itinerary, route suggestions, and points of interest. A local mobile sim will be provided to all the participants if request. A copy of passport and 2 x photos are required to obtain the local sim. A local guide is optional to include unless it is mandatory at some restricted areas like Upper Mustang and similar regions. 

Hotels & Parking

Hotels we book for the standard package are all normal standard hotels below 3 star level. Higher level hotels can be requested at extra charge but subject to availability. Every morning breakfast is included in the package. All hotels will be booked upon full confirmation of the tour and their names will be released afterwards. Parking fees in the standard package may be payable at some hotels and it is all at participant’s cost.

Changes in Itinerary 

After confirmation of the booking, if changes in itinerary is required, it may carry a change fee. A change to the itinerary includes route, hotels, travel dates, extra activities etc.

Modifications of Schedule during the Tour

Any modification made to the itinerary while on tour will be at the participant’s expense. This includes destinations, hotels, adding/reducing tour days etc. Any unused hotels and scheduled activities on tour will not be refunded.

Weather Conditions

Bikemandu cannot be held liable for any unforeseen, unpredictable, unpleasant and unsuitable weather conditions. No refunds shall be granted for such conditions.

Release and Waiver

Every participant in Bikemandu Self Drive Motorcycle Tour is required to accept and sign a Motorcycle Rental Agreement and Liability Release Waiver before the beginning of Self Drive Tour. Commencing the tour without signing the form is unofficial and may be withdrawn from the participation and no refund is entertained. 

Customer Orientation

Every participant will receive a full orientation to the motorcycle. The participant orientation will cover safe motorcycle operation, the participant’s maintenance responsibilities, as well as some local and state traffic laws.

Oil, Fuel and Lube

Oil, fuel and lube are not included in Self-Drive Tours. The cost of oil, fuel and lube will vary depending on the locations. 

Cancellation And Refunds

Cancellations made at least 45 days before the scheduled tour date will receive a full refund. If you cancel within 44 days, you may be entitled to a partial refund with the amount depending on when you cancel. All refunds are issued as store credit, redeemable within two years from the date of issue, and can be used only for services provided by Bikemandu Nepal.

Bikemandu’s Responsibility

Bikemandu takes responsibility for providing the services which are listed in the tour inclusions. Bikemandu held no responsibility or liability for any accidents and any occurrence due to participant’s actions in the tour, which might result in injury, death or other damage to the client, loss of his/her property, or loss of anyone/anything related to the clients. Bikemandu takes no responsibility for any delays or requirements for changing schedule or any other compulsions that may arise while on tour.

Tour Rates

All rates shown in website or anywhere on brochures, other online advertising or promotion are effective until and unless new rates come into application. However, Bikemandu reserves the right to amend cost if required at unforeseen circumstances that cannot be controlled. For example: unexpected hike of fuel price or other similarly eventualities etc. 

Insurance

Bikemandu recommends that you take out adequate travel, health and accident insurance as well as Trip Cancellation Insurance. Bikemandu currently offers a Theft and Damage Waiver, as well as Supplemental Liability Insurance at extra costs. 

Payment by Credit Card or cash

For confirming the tour, 20% of the total tour cost can be made by the following credit cards: VISA, Master Card etc. Balance payments can also be made by wire transfer. Rest of the balance amount must be credited 5 days prior to the tour start date if paying by cards or at least a day before the tour start if paying by cash. 

Payment by Wire Transfer

Alternatively, a tour can be confirmed by sending 20% of the total tour cost by wire transfer. Rest of the balance amount must be credited to the account provided below 7 days prior to the tour start date. ALL wire transfer fees are to be paid by customer.

Tour Confirmation & Credit Card Deposit

With your signature on the Tour Confirmation & Deposit by Credit Card or wire transfer, it is confirmed that you accept Terms and Conditions as a binding contract between Bikemandu and yourself, as the Guided Tour Participant. Without completing the form and paid deposit, not being cleared into Bikemandu merchant account, we cannot accept the reservation as fully confirmed.

Tour Cancellation

In the rare event of a tour cancellation, Bikemandu will notify all tour participants immediately. Bikemandu will either offer the tour as a Self-Drive Tour (bike rental + hotel package) or will offer to operate the tour if all booked customers agree to a supplement charge. If customers do not accept to pay the supplement, Bikemandu will refund their payment in full, which will constitute the full settlement. Bikemandu is not liable for any additional costs or losses incurred by the tour cancellation due to lack of participants. Situations may arise which can compel us to cancel, advance or postpone a scheduled tour, change itineraries or make substitutions regarding hotels, cities, tour guides and other travel arrangements. In that event, we do not assume responsibility or liability for any happening losses, expenses or inconvenience. Your full tour amount will be refunded if the tour is cancelled prior to schedule tour start date or keep the paid amount with Bikemandu to participate on next scheduled dates. Bikemandu recommends that you take out adequate travel, health and accident insurance, as well as trip cancellation insurance.

Disregarding of Traffic Laws and Group Travel Regulations

If the tour participant does not regard traffic laws or the requirements for group travel, Bikemandu may cancel the contract and the rental motorcycle will be secured.

Motorcycle Tour Guides

Your Tour Guides are there to assist you while on tour and will do their best to ensure that every participant gets the most out of your Bikemandu tour experience. It is extremely important for all riders to listen carefully to the Tour Guide’s safety and travel instructions each morning to help ensure the best possible group riding conditions. Should you need to travel independent from the group for any length of time, the Tour Guides can assist you in planning a suitable route and suggest safety tips.

Alterations to Tour Schedule

Any alterations made to the itinerary while on tour will be at the participant’s expense. This includes and is not limited to changing hotels, destinations, adding/subtracting tour days etc. Any unused hotels on tour will not be refunded.

Weather Conditions

The best weather for travelling in Nepal is spring and autumn. However, sometimes unfavourable weather may need to be faced during the trip. 

Bikemandu cannot be held liable for unpleasant and unsuitable weather conditions, and no refunds shall be granted for such conditions. Bikemandu doesn’t take any responsible and liable for extra expenses during those circumstances. 

Insurance

Bikemandu recommends clients to take out sufficient travel, health and accident insurance as well as Trip Cancellation Insurance. Bikemandu currently offers Theft and Damage Waivers, as well as Supplemental Liability Insurance from the insurance provider at extra cost. 

Waiver Coverage

All indemnity insurances for Theft and Damage Waivers and Supplemental Liability Insurance options are subject to the terms and conditions of Bikemandu rental contract and insurance company and do not include coverage for injury, personal property, or damage as the result of negligence such as illegal use or misuse or use of motorcycle while under the influence of drugs or alcohol. A Police Report is required for all accidents and to be eligible for approval of supplemental liability insurance. All claims against supplemental liability insurance without a police report will be considered void and all costs of damages and claims are solely liable to the rider. 

Airport Pick Up and Transfer 

Bikemandu offers free pick up from airport and transfer to hotel as contracted in itinerary and also airport transfer from hotel after the trip on all Guided Tours. Restrictions and extra charges  may apply at various locations and time.

Custom Pick-Up and Drop-Off Charge

If you wish to pick-up or drop off your bike at a different location other than the scheduled locations, a custom charge may be required. 

Half Helmets 

Half Helmets are provided free to use with motorcycles. Clients are encouraged to bring their own helmets to ensure custom fitting and comfort. Helmets may be purchased at Bikemandu store. 

Luggage Storage Service

Bikemandu provides storage for client additional luggage at the pick-up location while on tour. Bikemandu is not responsible for lost or stolen items.

Fuel, Oil, Lube and Wear and Tear Parts

Fuel, oil, lube and wear and tear parts costs are included on all guided tour riding days. However, Bikemandu reserves the right to charge an additional fee if fuel costs significantly exceed the average price.
